What about client confidentiality? What is there to know?
Professional Coaches with a Coaching Certificate from programs accredited by the ICF (International Coaching Federation) are bound by the ICF regulations to keep the confidentiality agreement. Client identity, personal details, and anything that the client considers confidential remain confidential.
This coaching relationship, as well as all information (documented or verbal) that the Client shares with the Coach as part of this relationship, is bound by the principles of confidentiality set forth in the ICF Code of Ethics. However, please be aware that the Coach-Client relationship is not considered a legally confidential relationship (like the medical and legal professions) and thus communications are not subject to the protection of any legally recognized privilege. The Coach agrees not to disclose any information pertaining to the Client without the Client’s written consent. The Coach will not disclose the Client’s name as a reference without the Client’s consent.
Moreover, it is one of my biggest goals to create a safe and secure space in order for you, my client, to feel that you can openly touch any subject you want and go as deep as you feel like. True growth happens when you can communicate with your coach (without fear of judging) your deepest fears and obstacles, but also your dreams so that we can create a plan on how to achieve those dreams.
The types of information that is considered confidential can include:
name, date of birth, age, sex and address current contact details of family, guardian etc bank/payment details medical history or records, if any personal care issues service records and file progress notes individual personal plans assessments or reports Other information relating to ethnic or racial origin, political opinions, religious or philosophical beliefs, health or sexual lifestyle should also be considered confidential.
Adult clients have the right to determine what information they consider personal and confidential.
How do you ensure that information is kept confidential?
That is a great question, thank you for thinking to ask.
Here are some ways that I use to make sure confidentiality is kept.
All data that comes through my website is protected by highly secured technology, SSL certificates, which ensures that data on the servers are kept safely in the digital store. At the moment, I am the only person operating my coaching practice, so no assistant or bookkeeper has access.
I also store my digital notes, files in a password-protected folder on my computer; my computer being password protected as well. Also, using only my own password protected wifi networks to prevent any external malware attacks.
The physical notes I take, are kept in my filing cabinets which are locked when leaving the office.
Other ways of maintaining confidentiality are:
- talking about clients in a private and soundproof place - not use client’s names
- holding all coaching meetings and calls in a safe and private room or an online call - only talk about clients to relevant people (mentor, supervising coach) - remove identifying information when discussing cases for teaching purposes.

Before we get started, I will be sending you a Client Coaching Agreement (the contract), where all the rights and policies are stated, including the fees and the cancellation policies.
All contracts are binding, and so I will expect from you and as well from myself to comply with it.
I am here to coach you to your highest level of success, and part of that is requiring a commitment from you that you are fully invested in your coaching package. When cancellations are an option, you can have “one foot in” the work, and “one foot out” the door. It is to YOUR benefit to decide BEFORE purchasing your package and committing to work with me that I am the right coach for you. If you’re in, you need to be 100% in, just as I will be for you.
Should you need to reschedule a coaching session, you may do so by providing 24 hours notice in advance of your session and making up the session within a week of the originally scheduled date. Sessions not canceled 24 hours in advance will not be eligible for make-ups. It is important that you prioritize this work to receive the full benefit of your coaching package.
The same rule applies to me as well. Should anything comes up that will prevent me from holding the session, I will contact you 24h prior to our session and reschedule within the next working week.
Refunds - In the regrettable case of an emergency, catastrophe, should you get sick, or anything that could make you incapable of attending the sessions in any way, I am open for a full refund if the coaching program did not start. Please contact me and the entire cost of the package will be refunded back to you. If the program already started, a 50% refund will be applied, as described in the below situation.
In case of dissatisfaction or in case you arrive at the conclusion that the coaching package does not benefit you as expected, refunds on coaching packages can be done only if you notice me (face to face or in writing) by the end of the third session.
The refund will cover 50% of the costs of the package (usually for the sessions that were not consumed yet), at the date of the notice. The refund will be done within a 30 days window.
Example: In case of dissatisfaction with the coaching services, at the end of the 3rd session, you can decide if you want to continue with the next sessions. If you have 3 sessions left, I will refund you for those three sessions.
